Welcome to the Build Concierge glossary, which defines all the need-to-know terms to help you to get familiar with the Build Concierge platform! 

Workflow Builder

The Workflow Builder is where you can configure, and connect nodes to create automated workflows.

Workflow

An automated process made up of connected nodes in the Workflow Builder. Workflows move data between systems, perform tasks automatically, and reduce the need for manual effort.

Workflow Library

The Workflow Library serves as a comprehensive directory within your account, showcasing all the workflows you've created along with their essential details.

Workflow Overview Page

This is a dedicated page for each workflow in your Build Concierge account, showing high-level details such as its name, description, status, last run, run history, and available versions.

Run History

A record of all workflow runs, showing when they occurred, their status (complete, error), and any outputs or errors generated.

Version History

A log of saved workflow versions, allowing you to view changes over time, compare versions, and restore a previous setup if needed.

Workflow Editor

This is the interactive design space within the Workflow Builder, where you actually build a workflow. Add, move, and connect nodes, configure their settings, and set up the workflow logic.

Node

These are the Starting actions and Actions which you use to build a workflow in the Workflow Editor. Each node performs a specific action or step. For example, extracting text, transforming data, sending notifications, or creating records in an external system.

Node library

This is the list of Nodes, categorized as Starting actions and Actions, from which you can build a workflow in the Workflow Editor.

Properties panel

The panel where you configure nodes in the Workflow Editor according to your workflow needs.

Regex (Regular Expression)

A regular expression is like a super-powered search tool. It’s a special string of symbols and letters that tells a computer exactly what kind of text you’re looking for, whether that’s an exact word, a format (like an email address), or a pattern (like all numbers starting with “555”). Regex’s are used in the Extract Text node in the Workflow Builder.

Variable

A placeholder for data that can be passed between nodes. Variables store values captured or generated earlier in the workflow, such as customer names, emails, or AI responses.

Custom Variable

A variable that is created by configuration of a particular node to extract defined data from a specific source. This data can then be used later in the workflow, to perform a specific action.

Mapping

The process of assigning variables to fields in another node’s configuration so that the workflow passes the correct data between steps.

Output

The result generated by a node when it runs. These become branches of the workflow where you attach additional nodes to determine what happens next. The most common outputs are Complete or Failed.

Contact (BigChange)

This is the CRM contact record in BigChange. It will usually be the name of a company/organisation or an individual.

Contact note (BigChange)

Information or tasks which are stored against a particular record. The Notes feature is a crucial tool that can significantly enhance communication, understanding, and traceability across the entire system when used appropriately.

Contact Group (BigChange)

Groups used to organise contacts eg. Customer's head office, Customer's depots, Staff, Suppliers.

Contact ID (BigChange)

A Contact ID in BigChange is simply the unique identifier assigned to a contact (like a customer, supplier or site). It’s used to distinguish that contact in the system and reference it in jobs, schedules, and records.

Contact Reference (BigChange)

A short code or label (often chosen by the user) used to help identify a contact. Unlike the contact ID, this is usually editable and more human-friendly.\

Job Type (BigChange)

The category of work being carried out (e.g. installation, inspection, maintenance).

Job ID (BigChange)

The unique system-generated identifier for an individual job in BigChange.

Job Reference (BigChange)

The unique reference of the job. This can either be set manually or generated automatically.

Custom Fields (BigChange)

Flexible extra fields that can be added to record more information about a job or a contact.

Concierge Support 

The central hub for managing all customer communication, both incoming and outgoing, from a single place. Currently, Concierge Support only supports calls management.
